Zirtual? Make the Move

Posted by Red Butler Team on 03/ 18/ 16

What if you could have it all? Reliability, performance and an executive strength service? Since 2005, Red Butler's business model has evolved to provide professionals like you with a solution that just - well works. Here are 5 reasons why Red Butler is #1.

1. Real Time Coverage:

Create an email address, such as taylor@yourcompany.com, and then cc or email Taylor and consider it done! Taylor will assist you in scheduling meetings, updating your calendar and can make calls on your behalf. If you email a research, travel or other task, Taylor will seamlessly have one of our Red Butler Administrators working on it. Having a real time virtual assistant proactively monitoring your inbox and calendar from 6am-6pm PST Monday through Friday, allows you to have faster responses and instantaneous support.

Red Butler = 12 hour weekday coverage, real time dedicated branded inbox and calendaring.

2. Dedicated Support:

Get the quality, integration and relationship you need with a Dedicated Account Manager. Your DAM is a single point of contact at Red Butler who will constantly oversee your account to ensure quality and timeliness. Your DAM is responsible for learning all of your preferences, processes, and procedures so that no matter who is working on your request, we'll know exactly how you want your request completed. This way, you get the quality, integration, speed and knowledge across our entire company.

With other companies, such as Zirtual, you are assigned to a single dedicated assistant who has the overwhelming burden of exclusively handling all of your tasks/requests. In addition, that single person is also responsible for a handful of other clients and their tasks/requests. This leads to an inevitable bottleneck and delayed response times. Imagine, you have an urgent project that you need your assistant to complete, but they're too busy taking care of 3 other urgent tasks from other clients - you are no longer the priority. In addition to bottlenecking, you're limited to that single person's knowledge and all of your communications are boxed in by that single person. If your assistant churns or quits, you're stuck starting over from scratch having to spend the time to re-train someone new.

Red Butler = Dedicated point of contact, deep integration, no bottle neck or assistant churn.

3. The Best Talent:

Red Butler Administrators (RBAs) are professional executive virtual assistants with expertise and knowledge across numerous industries, technologies and skills. All RBAs go through a rigorous vetting process (1 in 300 are selected), are US based and must maintain a consistently high feedback score to be eligible to stay on our team. Since we have a team of RBAs to complete your requests, you will be able to access multiple skill sets, have us work on multiple requests simultaneously and also extend your productivity across our 12 hours of workday coverage.

Other companies that utilize a one-to-one virtual assistant model, tend to run into request limitations due to the fact that their virtual assistant is fielding requests from other clients. Alternatively, with Red Butler you have access to our entire team of virtual assistants, which in turn remove all request limitations and give you access to a wide range of special skill sets from our Red Butler Administrators. With Red Butler you will be able to delegate strategic and meaningful requests, relying on consistent quality that will result in valuable productivity.

Red Butler = Access talent across our entire company, US only, 9 point hiring check.

4. Travel Services:

Red Butler is a licensed travel agency that is powered by travel specialists who can unlock internet competitive rates and provide global support. Whether you, your family or your entire team need to travel for meetings or leisure activities, Red Butler has you covered.

Most virtual assistants rely on publicly available travel websites and resellers such as Kayak, Expedia and Orbitz to book travel. Red Butler, on the other hand, utilizes a GDS network that unlocks competitive rates, special offers and other value added services.

Red Butler = Licensed travel, global support, competitive rates, single service for everything.

5. Global Privileges:

With over 1,800 Privilege Partners, Red Butler grants you access to insider relationships wherever you are to elevate your experience. Access a greeting from the chef, a complimentary glass of wine, a hotel room upgrade or up to 30% off at our participating Privilege Partners. With W Hotels, GHA, sbe, Uber, Equinox and other premium lifestyle and business brands, Red Butler makes sure that you have premium access wherever you go.

Red Butler focuses on creating unique experiences and generating real value for our clients, rather than generic online discounts that you can access just about anywhere with a coupon. Red Butler Privileges are unique, exclusive and personal, sort of like a secret handshake. Just submit a request and we will organize a special Privilege at one of our partnering locations or businesses.

Red Butler = Upgrades, discounts, professional concierge and decades of experience.

We know that there are a lot of options out there and Red Butler greatly appreciates that you're taking the time to make an informed decision. Red Butler has been established since 2005, we understand the challenges you face. We're offering any past or current Zirtual clients a 5 hour bonus. Claim your bonus and get started.

How a Snack Basket Can Drive Teamwork

Posted by Red Butler Team on 03/ 07/ 16

 How_a_Snack_Basket_Can_Drive_Teamwork.jpg

For team building to be successful, the team needs to be comfortable with each other and have good working relationships.  If you feel like you are part of the team, but still don't know your co-workers well enough, we have a fun suggestion anyone can do.

Everyone loves snacks. Our suggestion is simple.  The easiest way to get co-workers (and vendors too!) to stop by your office space is by having a snack basket in your office space. Not just any snack will do- it has to be something you can showcase on your desk in a large container.  Let everyone know you have delicious treats available. Here are a few ideas:

1. Mini candy bars- These are nearly impossible to resist and they have very few calories, so most people will be comfortable indulging.

2. Red Licorice- If you want a perpetual line to your workspace, this is possibly the best option. This delicious treat is available in giant tubs of individually wrapped pieces, and very few people can resist.

3. Fruit-infused water- if you want to provide something healthier, set up a water bar with fruit infused water in a large container with a spout.

No matter what snack you choose, you can be sure that your co-workers will be stopping by your office space to have some and you can use the opportunity to say hello and have a quick conversation, which in turn will help build a stronger team and increase productivity.

Meet Taylor, Your Virtual Employee

Posted by Red Butler Team on 03/ 03/ 16

Red_Butler_Introduces_Taylor

You're too busy to even use a Virtual Assistant right? That's the challenge, it just needs to work. It needs to be seamless, fully integrated and something you can set and forget. That's why Red Butler is announcing Taylor, your real time virtual assistant. Create an email address like taylor@yourcompany.com, then email or cc Taylor and consider it done.

Several months ago, a writer from Inc Magazine reported that he needed a pro-active Virtual Assistant service that was effortless to use, easy to integrate with - and super reliable. Red Butler offers all of that, but we've gone a step further with the introduction of Taylor, your new "real time" virtual assistant.

In addition to submitting tasks to Red Butler, on our Red15 plan and higher, you'll get Taylor - real time inbox and calendar monitoring. With Taylor, it's business as usual. Just send an email to Taylor taylor@yourcompany.com to schedule a meeting, update your calendar or to make a call - it's like having a virtual employee.

Better yet, just cc Taylor to follow up with a client, find a time to meet, make a call or book a flight. Plus, Taylor is branded to your company name, has a 1 hour or less turn around time, provides coverage on weekdays from 6am to 6pm and is checking your inbox in real time for instantaneous coverage.

What is Taylor?

1. Inbox: Create an email address for Taylor to log into, e.g. taylor@yourcompany.com. Whenever you need something, just email Taylor. Plus, since Taylor has a company email address, it's like having a virtual employee that you can rely on and interact with in real time.

2. Calendar: Share your calendar with Taylor. Anytime you need something added, removed or re-scheduled, just let Taylor know. You can copy Taylor on any client emails too. Taylor will contact your client, find a new time, send a calendar invitation and confirm.

3. Real Time: With Taylor, you'll have someone proactively monitoring a company email address and inbox in real time. That means, 1 hour or less responses and instantaneous support. Taylor is available weekdays from 6am to 6pm PST - that's 12 hours of daily coverage.

4. Seamless: Email Taylor for anything that you need. If its a research, travel or other task, Taylor will seamlessly have one of Red Butler's Admin's working on it. This way you're getting real time support with a traditional task based virtual assistant.

5. Scaling: You can share Taylor with other people in your company, law firm, startup or office. Add users to be able to interact with Taylor - deducting from your hours, or add an additional account holder for Taylor to manage their account and time separately.

We know that there are a lot of options out there and Red Butler greatly appreciates that you're taking the time to make an informed decision. Red Butler has been established since 2005, we understand the challenges you face. Request a personal consultation to see if Red Butler is a good fit for you, or get started today.

How to Recharge at Noon

Posted by Red Butler Team on 03/ 01/ 16

 How_to_Recharge_at_Noon.jpg

A productive day at the office can be brought to a screeching halt with a morning full of distractions and interruptions. Typically this happens late in the week as the weekend approaches. We have a few suggestions on how to get back on track following a difficult morning, and to make increased productivity a reachable goal every afternoon.

When your day gets off track, you want to do something to prevent your entire afternoon from being unproductive.  Here are three things we suggest to turn things back around and make your afternoon more efficient:

1. Leave at noon. Go somewhere for an hour for a working lunch away from the office. If your meal is protein-packed and low in carbs, your afternoon will be more productive.  Send your calls to voicemail for an hour unless you are expecting an urgent call.  Use the time away from the office to schedule your afternoon with three things you must get done before the end of the day, and start working on the most important.

2. Delegate everything else in your inbox when you get back from lunch.  If you delegate it to Red Butler, it will get turned around quickly.  Our executive virtual assistants can tackle just about anything you send over. Here is how you can get started.

3. If you must work late,  focus only on one task at a time.  Do not allow distractions to sidetrack your efforts to get things done.

Once you step away for an hour, you should be able to refocus and have a more efficient, productive afternoon. Read here for another idea on how to make every week more productive.

What to Do The Hour Before The Doors Open

Posted by Red Butler Team on 02/ 24/ 16

 What_to_Do_The_Hour_Before_The_Doors_Open.jpg

Most people work most efficiently when they are not distracted. Therefore, productivity goals can be more easily reached if you have a large chunk of undistracted time to get things done. This is challenging in today's world, since we are never "away from the office"- our cellphones keep us connected 24/7. So how does one reclaim distraction-free work time? We have a simple suggestion.

Go to work an hour before "opening time", but turn your cellphone off. Use this hour to sort and prioritize your inbox,  take care of a project on your computer, or work on a large project without distractions.  If you will be tempted to check email or surf the internet, use an app which will lock those programs for a specified amount of time.

On Mondays, plan even more time if you have a very intense week ahead of you.  Get to work an hour and a half early to do your planning and prep.  Don't forget to delegate everything you can to Red Butler's executive virtual assistant services.  Here are some ideas of things you can delegate. Also, make sure you take a lunch break so your afternoon is also productive.

By taking some extra time before the day "officially" starts, you will be setting you and your team up for success.

Why Your Desk is More than a Piece of Furniture

Posted by Red Butler Team on 02/ 22/ 16

 Why_Your_Desk_is_More_than_a_Piece_of_Furniture.jpg

Workspace furniture can have a profound impact on your bottom line. Ergonomics, aesthetics, and practicality all drive productivity.  Let's take a closer look at how you can make your desk a key part of your team's productivity.

There are three key elements to a workspace that drive whether it is a productive space: ergonomics, aesthetics, and practicality.  Once you have all three of these things in place, you will be able to start each work day efficiently, leading to a more productive  week.  Here are a few comments about these three elements and some things to consider:

1. Ergonomics: Desk height to chair ratio- if your desk is not at the correct height for you to be able to do work without ending up with a neck cramp, it is time to make adjustments. This has more to do with the chair than the desk, and the ability to adjust the height at which you sit so you are not leaning over to do your work. Being at an incorrect angle can lead to shoulder and neck pain, and in some people headaches. Sometimes a chair swap with a coworker can solve height problems if you can't purchase a new chair.

2. Aesthetics: A clean, crisp office drives productivity because it is uncluttered and naturally spurs creativity. When you step into your office space in the morning the first impression you get will set the tone for the day. If your desk is a style you do not like, then every day when you step into your space you may think about that and your productivity can be impacted.  Desk accessories are an important part of that initial impression. Choose desk accessories which are efficient and that you like. If you prefer a completely clear desk, set up your desk drawers to be as efficient as possible, without clutter.  Here are some ways to choose desk accessories.

3. Practicality: If your desk doesn't have storage capability, and you have nowhere else in your space to store things, then it is impractical.  Adding a rolling file cabinet with a drawer may be all you need to boost productivity.  Your daily files should be at your fingertips along with pens, paper, and anything else you need to work. Not having to search for things keeps the day running smoothly. If you get frequent guests to your office space you should consider having a folder you keep on your desktop to put sensitive documents in while you meet.

Finally, leave your work area clean at the end of each day so when you return it is a place you are happy to work.  A quick wipe down of your phone, keyboard, and desk leaves a fresh scent you will appreciate the next morning.
